1. Who we are

This website (hyrycyk.com) is operated by KEY STONE FARMS PRIVATE LIMITED, a company incorporated in India (CIN: U01114HR2018PTC075147), with its registered office at Shop No. 1, H. No. 2976, N.H.B.C., Panipat, Haryana 132103 (“Company”, “we”, “us”). For the purposes of the Digital Personal Data Protection Act, 2023 (“DPDP Act”), we are the Data Fiduciary for personal data collected through this website.

This policy is published in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the DPDP Act.

2. What personal data we collect

• Details you give in the enquiry form or by phone, WhatsApp or email: name, mobile number, email address, business name, delivery location and details of your requirement.
• For buyers and suppliers we deal with: GSTIN, billing and shipping address, bank details needed for payment, and records of orders and invoices.
• Basic technical data when you visit the site, such as IP address, browser type and pages viewed, and a stored value that remembers your cookie choice.

We do not knowingly collect personal data of children (persons under 18). We do not collect passwords, card details or biometric data through this website.

3. Why we use it

• To reply to your enquiry and send quotations and samples;
• To process orders, issue GST invoices and e-way bills, arrange transport and receive or make payments;
• To comply with tax, company law and other legal obligations in India;
• To keep the website secure and working properly.

We process your data on the basis of your consent (given when you submit the form) or for legitimate uses permitted under Section 7 of the DPDP Act, such as fulfilling a transaction you have asked for or meeting a legal obligation.

4. Sharing

We do not sell or rent your personal data. We share it only where needed with transporters (for delivery), our bank and payment providers, our chartered accountant and auditors, IT and hosting providers, and government authorities when required by law. Each recipient may use the data only for the purpose it was shared.

5. Storage and retention

Enquiry data is kept for up to 24 months after our last contact unless it leads to an order. Order, invoice and accounting records are kept for at least eight years as required by the Companies Act, 2013 and GST law. After that the data is deleted or anonymised.

6. Security

We use reasonable security practices, including HTTPS on this website, restricted access to records and password-protected systems, to protect your data from unauthorised access, misuse or loss.

7. Your rights

Under the DPDP Act you may: obtain a summary of your personal data we hold; ask us to correct, complete, update or erase it; withdraw your consent at any time (this does not affect processing already done); nominate another person to exercise your rights in case of death or incapacity; and raise a grievance with us. If you are not satisfied with our response, you may approach the Data Protection Board of India.
